Accounts are your B2B account customers - insurers, fleets, roadside providers, dealers, construction and government clients who send you regular, high-volume work. The point of an account is records and convenience: capturing who a job was for, their reference numbers, and producing clean statements - not complex pricing.

Good to know

An account is simply a client of type Business (B2B). Every b2b client is an account; retail (individual) clients are not. Manage them under Accounts in the main menu.

Creating an account

Go to Accounts → New account and fill in:

  • Company / Account name (required) and Account type (insurer, fleet, roadside provider, dealer, construction, government, other)
  • Contact details - billing email, phone, address, tax number
  • Payment terms (Net 7 / 14 / 30 / 60 days) and an optional credit limit (0 = no limit)
  • Optional estimate pricing overrides (see below)

Authorized callers & sub-locations

On an account's page you can maintain two lists that speed up job entry:

  • Authorized callers - the people at that account allowed to book tows (name, phone, email)
  • Sub-locations - the account's known sites (depots, branches, dealership yards)

When you create a job and select the account as the client, its authorized callers appear as one-tap chips that fill the job's contact, and its sub-locations appear as chips that fill the pickup address.

Linking a job to an account

On the New Job form, search for and select the account in Step 1 - Client. That is the account link.

Check

The Payment Method → Account option on a job means EFT / bank account - it is NOT how you link a job to an account customer. Account linkage is always the client selector.

Reference fields

Accounts almost always need their own references on every job. Capture these in Step 2 → Pricing & References:

  • Customer / For - who the tow was actually for (e.g. the policyholder or end customer)
  • Client Reference - the account's own reference or claim number
  • Order Number - a purchase-order or job number from the account

These flow everywhere the job appears: the job detail, the client portal, the invoice PDF, and the Job Reports export (included in the Complete and Financial presets).

Estimate pricing (optional)

An account can carry negotiated rate overrides - a flat per-km rate and/or a base-callout rate - set on the account page. They price that account's estimates, in the office calculator and in the account's own portal.

Good to know

Other customers' estimates never use them. To preview an account's pricing, open Settings → Pricing calculator and choose the account in Preview as account (the selector only appears once an account has an override set).

Statements

Produce a statement of an account's jobs for any period - last 7 / 14 days, this week, this month, or a custom range.

  • Operators: open the account page → Statement card → pick a range → Download PDF, Download Excel (CSV), or Email to the account's billing address
  • Account customers: their portal login gains a Statements tab to self-serve the same download / email

The statement lists each job's date, Customer/For, references, route, status and amount, with a total for the period.
